Please read through the rental policy.

It will be part of the rental contract you will be signing when you pick up the trailer.  If you have any questions or concerns please feel free to contact me.


Minimum Number of Rental Nights - Minimum 3 nights required to a maximum of 29 nights (30 days).  Pick-up and drop-off dates must be confirmed at time of booking.

Rates - See trailer page for pricing information.  5% GST and 7% PST is in addition to all listed prices for rentals (trailers, extra equipment).  5% GST (no PST) on delivery. No GST or PST on deposits.

Rental Payment - At confirmation of booking the Reservation/Damage Deposit will be required to hold the reservation.  The rental payment must be paid in full at or before the time of pick-up including any additional equipment rentals and pet deposits.  Forms of payment are Cash, Interac e-transfer, Visa, MasterCard, Amex, and PayPal. Damage Deposit (and pet deposit if applicable) will be returned 2-4 weeks following rental return via Interac e-transfer or mailed cheque. There will be no refunds for unused portions of the rental time. NOTE: Regardless of method of payment GoHideOut requires the renter to provide a valid credit card (Visa, MasterCard, Amex) only to be used in the event of at fault claims, damage due to negligence, misuse and failure to exercise due care.  See below for information of applicable circumstances. GoHideOut will not charge the credit card without first contacting and communicating with the renter.

Reservation/Damage Deposit - A $500.00 Reservation Fee is required to hold the renter’s reservation.  This can be paid with Cash, Interac e-transfer, Visa, MasterCard, Amex, or PayPal.  Once the trip commences this fee becomes the Damage Deposit and can be forfeited for the following violations:

  • to cover deductible portion of insurance in case of collision

  • to cover losses or damage other than collision (variable charge)

  • if unit is returned late without authorization (see late fee below)

  • if there is evidence of travel on gravel roads ($500 charge)

  • if holding tanks have not been emptied ($50 charge)

  • if unit has been smoked in ($500 charge)

  • if GoHideOut was not notified of pets travelling along ($500 charge)

  • if the unit is brought back without being cleaned inside/outside ($100-300 charge depending on condition of unit)

  • if unit was not brought back in the presence of a GoHideOut representative ($100 charge)

Cancellation Policy - In the event that you cancel your reservation, cancellation fees will be in effect as follows:

CANCELLATION FEES

$500 Fee (full deposit) - No Shows

$500 Fee (full deposit) - 0 - 14 days before rental

$250 Fee - 15 - 29 days before rental

$50 Fee - 30 - 59 days before rental

Full Refund - From confirmation to 60 days before rental

 

Driver Age Requirements - Renters must be 25 years of age or older and have a valid driver’s license.  Anyone listed on the contract as a ‘driver’ must be physically present at pick-up or they will not be permitted to leave the station with one of our units.  Only persons with driver’s license numbers listed on the rental agreement may tow the trailer.  Drivers with 'N' (Novice) or 'L' (Learner) designation are not permitted to tow our units.

License Requirements - For all drivers, a national driver’s license from their home country is required (original to be presented please, not a copy).  A Canadian or American license is sufficient, however, overseas residents may be required to produce an international driver’s license, for translation purposes only, if their license is not in English script or similar.  An international driver’s license is only valid in conjunction with a national driver’s license. Note: GoHideOut will require a photocopy of the driver’s license of the primary driver.

Principal Driver/Renter - The ‘principal driver’ is the renter, and he/she must be physically present at both pick-up and drop off to sign all paperwork.  No exceptions to this condition.

Required First Night in Hotel - For safety reasons, all renters arriving on overseas flights must spend their first night in a hotel.

RV Trailer Orientation - An RV Orientation and walk around will take place at the time of trailer pick-up or delivery and is mandatory for all Renters. This should take approximately 20-45 minutes.

Electric brake controller & 7 pin connector - The towing vehicle must have an operating electric brake controller installed and the renter must be familiar with its operation.  A 7-pin connector is required and must be in working order at time of pick-up.  Please test the connector prior to picking up the trailer.  For more information please see our Can I Tow It page.

Responsibility of GoHideOut - If, for any reason beyond GoHideOut’s control, the reserved trailer is not available, GoHideOut is responsible only to refund all monies.  Although this is infrequent, accidents or mechanical repairs may force cancellations.  GoHideOut is not responsible for any vehicle breakdown, any extra cost of charges for late returns, or towing/recovery of a trailer because of tow vehicle breakdown.

GoHideOut will endeavor to notify renters of any issues with their reservation related to trailer availability as soon as possible.

Responsibility of Renter - When on the road we require renters to exercise prudence in handling and operating our rental vehicles.  Misuse and failure to exercise due care and attention in their operation may result in damage charges.  Please note that the renter is also responsible for routine on-the-road maintenance, which for trailer rentals includes checking tire pressure while on the road.  Renters will be held responsible for any damage that occurs when regular maintenance is neglected.

Dry Camping (No full hook-ups) - Batteries have limited use and will not support prolonged furnace use or extended lighting.  A generator can be supplied for a fee.  GoHideOut will not be responsible for loss of fridge, food, furnace, lights, etc. due to low or dead batteries.  Renters are advised to use Campground facilities washrooms/showers as much possible to avoid sewer tank overflow into the RV trailer.  If the sewer tank overflows a minimum $500 sanitation fee will be charged at time of drop off.

Insurance - Insurance for the trailer is included in the rental fee and covers $5,000,000 in liability.  When the tow vehicle is attached to the trailer the tow vehicle’s insurance is used for all claims.  Renter is responsible for any and all claims.  In the event of an accident, damage to trailer, fire, or theft, renters are required to do all the following:

  • Contact GoHideOut and the Police within 24 hours of occurrence

  • Provide GoHideOut with a copy of a police report or file number at drop off (if the police do not file a report, the renter must show proof that the incident was reported to authorities, and for this purpose a written note or business card is sufficient)

  • Take pictures of the damage to the unit and accident scene

Should the unit be damaged beyond repair due to an accident, GoHideOut is under no obligation to replace the unit, nor will they be required to refund the customer for unused rental days.

In all instances personal items/belongings and personal injuries are not covered by insurance.

Insurance Claims - If a renter is involved in an incident, GoHideOut will hold their deposit for a period ranging from 1-4 months in duration.  Please note that only the insurance company can speed up the processing of the claim and it is out of GoHideOut’s hands.  The final cost to the customer will be the maximum deductible charge, where expenses include—but are not limited to—damage to the GoHideOut trailer, damage to third party property, injury claims, towing charges, storage fees, insurance adjuster fees and legal fees. In the event the unit is stolen or rendered inoperable, our insurance does not cover accommodation, transportation or vehicle replacement costs.

Voided Insurance - When damage to a unit is the result of negligent or careless behavior the insurance is considered void and the renter responsible for 100% of repair or replacement costs.  These costs will be charged to the credit card on file.  Examples of negligent or careless behavior:

  • Hit and Run by renter or additional drivers

  • Roof damage caused by careless handling of unit (includes ignoring height restrictions)

  • Undercarriage damage caused by careless handling of a unit (includes damage caused by travel on gravel or unpaved roads, damage caused by bottoming out when going too fast over speed bumps, and damage caused by travel on ramps/driveways/roads that are on too steep of an incline to accommodate a trailer)

  • Negligent behavior resulting in damage to unit (includes driving under the influence of alcohol or drugs, travel in restricted areas, towing of any kind behind the trailer, driving while towing one of our units if the driver doesn't have a valid driver's license, and backing up without a second person outside of vehicle to guide the driver)

  • Careless behavior resulting in damage to unit (includes freezing of the trailer’s water system in temperatures below zero)

  • Operation of vehicle by anyone under 25 years of age

  • Damage occurring in accident that renter failed to report to GoHideOut and Police within 24 hours

GoHideOut Liability for Loss or Damage - GoHideOut does not assume any liability for loss, damage or injury to persons or their personal property.  Neither does GoHideOut accept liability for any inconvenience arising from any temporary defects or stoppage in supply of water, gas, electricity or plumbing. Nor will GoHideOut accept liability for any loss or damage caused by weather conditions, natural disasters, acts of God, or other reasons beyond its control. Note: Any breakdowns or expenses that occur because of abuse, misuse or negligence, will not be reimbursed.

Damages and Repairs - Absolutely no travel on gravel roads.  Loss of Damage Deposit if there is any evidence of having travelled on gravel road.

Renters are responsible for any damages to the RV trailers (interior and/or exterior) and will be charged accordingly for repairs.  Renter to ensure all roof vents are closed when the possibility of rain is forecasted and while the trailer is in transit.  Renter to ensure all windows and doors/hatches are closed while the trailer is in transit.  Renter assumes full responsibility for damage to tires.

Travel Area of Trailers - Please be aware that trailers are tracked using GPS.  Trailers are permitted to be taken up to 1200km one way from GoHideOut (located in Langley, BC) in either Canada or the US provided they are not taken on gravel roads.  No gravel roads, off-roading, or driving on roads designated on official provincial or state maps as ‘other roads – gravel or dirt’ allowed.  Insurance coverage is void if travelling in restricted areas without authorization and the renter would be subject to a $2,000 penalty.  All repairs, damages and delays caused by mechanical breakdowns in restricted areas would be the responsibility of the renter.  Please note that GoHideOut reserves the right to limit travel on any road, or section of a road, without notice, due to factors such as—but not limited to—changing road and weather conditions.

Travelling to any music festival (i.e. Merritt Mountain Fest) is strictly prohibited.

Failure to comply with any of these restrictions will result in loss of damage deposit and may incur further charges of damage has occurred.

Canada/US Border - No extra charge for crossing the Canada/US border.  Please ensure you have adequate identification to cross the border as GoHideOut will not be responsible for delays and/or detainment at the border.

Repairs and Breakdowns While on the Road - The possibility of mechanical failure or breakdown is an inherent risk associated with the rental of an RV.  Any repairs (or replacement parts) costing less than $100 (excluding tax) do not require prior authorization from GoHideOut before servicing.  Reimbursement will be provided at drop off when both a receipt and the part replaced are presented.  For costs more than $100 please contact GoHideOut first for authorization.  In all cases the renter will not be reimbursed for loss of time, transportation costs, inconvenience, food loss, or any other expenses resulting from repairs to their unit.

GoHideOut’s responsibility is limited only to the refund of the daily gross rental rate or portion thereof if the breakdown repair of the trailer takes longer than 24 hours.  Defects on Radio/CD/GPS, generator, air conditioning, refrigerator, microwave, awning, furnace, BBQ, camp stove, hot water tank, slide-out malfunction, etc. are not considered to be mechanical breakdowns and excluded from refunds. However, every effort will be made to repair trailer and accessory defects as quickly as possible. Compensation for any defects will be discussed and will depend on the inconvenience of the defect.

Any breakdowns or expenses that occur because of abuse, misuse or negligence will not be reimbursed.

Awnings - GoHideOut will not offer refunds or repairs for malfunctioning awnings, while on the road, as this is an added extra provided to the customer at no additional charge.

The operation of the awning will be shown as part of the mandatory RV Trailer Orientation.  Awnings are the responsibility of the renter and are susceptible to wind, rain and falling objects.  If trailers are to be delivered they will have the awnings retracted.  Awnings are inspected before and after each rental.  Awnings must be retracted when leaving the RV trailer for extended periods of time.  When in use awnings must be set up with a slope to one side so water drains off.  They must be retracted during windy conditions and if there is snow.  Do not hang anything from the awning arms (towels, clothing, etc.) and do not allow children to climb the arms.  Smoke trapped by the awning may activate the interior smoke detector.  Awnings can be damaged very easily, keep all fires well away. If you don’t feel comfortable with operating the awning leave it retracted.  Awning damages can result in additional charges and can be costly.

Air Conditioning - Air conditioning will only work if plugged in to 110/120V power or to a generator.  It is important not to overuse the air conditioner as prolonged use will ice up the unit and cause it to be in-operable.  If you are planning to be absent please turn the air conditioner off.

Lost Keys - If renter loses keys and needs to have the RV trailer unlocked a minimum $50 fee plus $2/km charge (from GoHideOut to trailer location) will be applied to the credit card on file.  If renter does not return the keys at the end of their stay a $50 key replacement fee will be charged to the credit card on file.

Holding Tanks - Renter must empty and clean out or pay $50.00 to GoHideOut to drain and clean the grey and/or black water holding tanks.

Please refrain from putting feminine hygiene products in the toilet as they will back up the trailer sewage system and a charge for repair will incur.

Traffic Violations - Renter is responsible for paying all parking or driving violations.  Renter is responsible for reporting all accidents to the authorities and/or insurance companies as well as to GoHideOut.

Pet Policy - Animals are allowed in the units but must be confined to the floor.  No pets are allowed on the beds, counters, table or seating areas.  GoHideOut must be advised at time of booking.  Out of courtesy to other renters please keep and return the trailer free of hair and mud/dirt that may be left behind from your pet.  A pet deposit may be applicable.

Amendments to Reservation - After confirmation, we allow the addition of extra items to bookings at no additional charge, and provided there is availability, we allow one category or date change.  The total number of days booked must be the same (or no more than 3 days less than the original booking).

Early Pick-up - Early pick-up may be possible.  Please contact GoHideOut at time of booking but no guarantees can be made until shortly before (7 days) pick-up day.  We ask all customers with early pick-up to contact GoHideOut 48 hours prior to rental to receive their assigned pick-up time.

Customers Taking Ferries - We recommend that customers book no earlier than a 19:00 sailing (adjust accordingly if early pick-up arrangements have been made with GoHideOut).   This is because pick-up appointments can take up to 2 hours, it’s usually a 60 to 90-minute drive to the ferry, and BC Ferries requires all passengers with reservations to arrive at the terminal at least 30 minutes prior to departure or they can lose their reservation.

No Smoking Policy - Smoking is strictly prohibited in all GoHideOut trailers.

Customer Check-In Form - All customers should fill out a Customer Check-In Form and return it to GoHideOut at least 14 days prior to the first rental day.

Delivered Trailer - Delivered times are approximate and depend on campsite access.

  • Delivered to Campsite: 15:00 - 18:00

  • Picked Up from Campsite: 09:00 - 10:00

  • GoHideOut cannot be held responsible for delays (traffic accidents, mechanical breakdowns, weather related problems, etc.)

  • Any delay will be confirmed with the Renter ASAP

  • Trailer orientation will happen at the campground

Picking Up Unit - Anyone listed on a contract as a ‘driver’ must be present at pick-up, or they will not be permitted to drive—no exceptions.  The ‘principal driver’ is the renter and he/she must produce a valid MasterCard, Visa, or Amex for the security deposit (no pre-paid credit cards, debit cards, e-transfers, wire transfers or cash).  At pick-up GoHideOut reserves the right to refuse a rental to a driver not deemed fit to handle a trailer rental.  Pick-up appointments take around 60 to 90 minutes.  During this time the contract is signed and the renter receives a demonstration of the unit.

Pick-Up Times - RV rental pick-up happens between 9:00 and 17:00.  Pick-up outside of these times may be possible and must be established 5-7 days in advance.  Please call GoHideOut if you need to confirm your pick-up time the day before your rental.

Dropping Off Unit - Trailers are to be returned in the same condition as when you picked it up inside and out.  If you return a trailer that needs extensive cleaning, either inside or out, a cleaning fee of $100-$300 will be charged to you.

Drop-off Times - RV rental return time is between 9:00 and 17:00.  Drop off outside of these times may be possible and must be established 5-7 days prior to drop off date.  Renters must be physically present at drop off, and cannot send someone in their place to close their contract.  We allow early drop-offs but will not offer a refund for lost days. We recommend that customers contact GoHideOut in advance to advise that their unit will be dropped off early.

Required Security Deposits - At confirmation of reservation renters are required to pay a $500 security deposit to hold their reservation.  We accept MasterCard, Visa, Amex, cash or e-transfers for the Security Deposit - no wire transfers, debit cards or prepaid credit cards.   Security Deposits are refunded at drop-off provided the unit has been returned on time, there is no damage, it’s clean on the inside and out, all equipment is present and undamaged, the holding tanks are all empty, and no damage claims have been made.  In all cases, the exchange rate difference between the deposit given at pick-up, and the refund given at drop off, is the renter’s responsibility.

Lost Items - As a favor to our customers, GoHideOut is happy to ship lost items back home for them ($25 service fee, plus cost of shipping).  Otherwise you may arrange a time to pick up the items from GoHideOut.  Please note that we cannot hold lost items indefinitely, so unclaimed items will be kept no longer than 2 weeks after drop-off.

Rentals for Commercial Use - Commercial use of the trailer is strictly prohibited

Weather - As GoHideOut cannot control the weather we cannot offer refunds on early returns.

Additional Terms and Conditions:

  • Terms, policies, and prices are subject to change without notice

  • GoHideOut reserves the right to cancel the RV trailer

  • Delivered trailer is stationary and is not to be moved by anyone other than GoHideOut

  • Hitch locks will be on delivered trailer

  • All rented accessories must stay on renters campground site

  • Renters assume all risk for theft or damage to all rented accessories and will be subject to full replacement cost

  • Outdoor cooking and/or BBQing can only take place a minimum of 10 feet from any part of the RV trailer including the awning

  • Water on site and/or in the RV trailer tank(s) is not guaranteed to be potable (drinkable). GoHideOut suggests bringing your own bottled water for drinking.

  • All rentals and rented accessories are subject to the terms and conditions of the rental contract

  • GoHideOut reserves the right to refuse to rent to any person for any reason

  • If Renter(s) violates any conditions of this agreement GoHideOut may terminate this agreement and Renter will forfeit all monies collected

  • Upon notice of termination of this agreement Renter shall vacate the RV immediately

  • Generators are not supplied but may be available for rental.  If available the generator will come with a full tank of gas and the renter will be supplied with a gas can for refueling the generator.  Renter is responsible for refueling costs
